Program Assistant, Membership Marketing
SUMMARY:
Provide support for membership, marketing and sponsorship programs
ESSENTIAL DUTIES:
Assists with preparation of membership development correspondence, newsletters, brochures, reports and summaries.
Provides back-up coverage of Help-Desk 800 line, company 5500 line, and division lines as necessary
Coordinates with CFBF benefit partners and maintains inventory and records of member benefits/services and promotional materials
Assists with CFBF conference preparation, communication and registration, as necessary
Coordinates meetings and appointments as necessary
Performs other duties as assigned
ACCOUNTABILITIES:
Assists with preparation of membership, marketing and sponsorship materials in the areas of general design/layout services and generating/proofing copy for events, membership and marketing materials
Ensures CFBF and county Farm Bureau staff have access to member benefits information by regularly distributing promotional materials and loaning out other related materials such as tradeshow and promotional displays
Participates and assists in coordinating CFBF activities at trade shows, fundraisers, special events and programs
Prepares and assembles sponsorship proposals and materials and ensures fulfillment of sponsor requirements
Support membership base by providing primary back-up support on the in-bound member service support line as needed during breaks, staff absences, and during periods of high volume
Maintains files, records and inventory for membership, marketing, sponsorship and other projects in areas of responsibility
SPECIFICATIONS:
Associates Degree or higher and a minimum of 2 years experience providing administrative and phone support in an office environment is required
Intermediate to advanced proficiency in Microsoft Office- Word, Excel, PowerPoint, and Access and working knowledge of Adobe Creative Suite- Photoshop, In Design
Ability to generate reports, memos, proposals and other written materials according to standard business writing principles.
Intermediate or higher proficiency working within databases and conducting ad-hoc reports, mail merges, etc. is required.
Familiarity with iMIS database membership system is preferred, however, training will be provided.
Membership Specialist
SUMMARY:
Screen, batch and process all new and renewal membership applications and will handle correspondence to the county Farm Bureaus. Sort and distribute incoming mail, prepare and balance bank deposits and related materials in addition to providing phone customer service.
ESSENTIAL DUTIES:
Assists in reviewing computer system enhancements and program changes, including testing, implementation and staff training
Provide on-going support, training and documentation for Farm Bureau Membership Network (FBMN) to all users
Membership billing review and approval for over 150,000+ notices a year. Responsible for quality control of notices. Assists in on-line computer table maintenance and review. Each of the 53 county farm bureaus has separate groups of on-line records containing multiple rate codes and amounts
Reviews/approves departmental expenses and maintains corresponding records including all supply expenses; exercises judgment regarding acceptance of price quotes and delivery deadlines
Maintain forms inventory and control for Membership department and county farm bureau billing inserts, in addition to representing farm bureau as a vendor contact, handling the graphic design, legal approval, price quote comparison, quality control, ordering and expense approval
Telephone customer service responsibility to members, county farm bureaus, CFI employees, agents, State Fund, CFBF employees and various other entities; research and follow up of related issues.
Screen, batch and process membership applications and payments for new and renewal members
Review and process all complex payment adjustments (i.e.: refunds & NSF returns).
Assist in preparing/balancing all membership bank deposits and provide related reports to accounting department
SPECIFICATIONS:
3-5 years experience in call center or processing environment
Proficiency and accuracy for 10-key and alphanumeric data entry
Experience with escalated or complex customer/member calls
Ability to generate reports, memos, proposals and other written materials according to standard business writing principles
Intermediate or higher proficiency working within databases and producing ad-hoc reports, mail merges, etc. is required
Familiarity with iMIS database membership system is preferred, however, training will be provided
Demonstrated attention to detail and accuracy
